We try not to make them too arduous, however both your group and Clearways need to be clear, so that your booking runs smoothly.
Bookings/Quotes - Terms & Conditions
Quotes
- All rates are in New Zealand Dollars (NZD) on a per night/bed basis
- Your quote will show the current New Zealand GST component
- Your quote is valid for 14 days
- Within the 14 days, to accept the quote – you need to click on accept (or decline)
Deposit Policy
- On receiving notification of your acceptance of quote, an invoice will be sent to you
- The invoice will be a 25% non-refundable deposit for your booking
- The deposit will be due for payment within 14 days, if not paid after 14 days – your booking is not guaranteed
Payment Policy
- 25% non-refundable deposit to confirm booking (see above)
- 75% final balance payment invoice sent 21 days before booked arrival, with the payment due 14 days before arrival
- If your overdue account has to be sent to a collection agency, Clearways NZ Ltd is eligible to recover the agencies costs + your debt
Group Booking Policy
- Clearways NZ Ltd reserves the right to confirm current room rates 3 months prior to the booking date
- Final balance invoice, reflects final number of rooms booked
- If room numbers of final attendees is lower than booked rooms, refunds will not be made
Minimum Group Bookings + Cancellations
- Minimum stay is 3 nights
- Minimum number of rooms is 10, unless agreed otherwise
- We understand that plans can change, and we will do our best to work with you if your situation changes
- As a small business, group bookings can have a significant impact on us
- Cancelling an entire booking requires 60 days’ notice before arrival – less than 60 days will incur a 50% charge of booking value, if we can resell your rooms, we will take that into account
- Reducing the number of rooms booked requires at least 30 days’ notice, otherwise original room numbers booked will be charged
- Clearways NZ Ltd reserves the right to cancel your booking, should business matters dictate, by giving 90 days’ notice
Guest expectations
- We ask that our guests do not disturb others between the hours of 10.00 pm and 7.00 am
CCTV Cameras on site
- Clearways have cameras in lounges and kitchens only
- The footage is not viewed unless an incident requires viewing/playback
- Footage may be disclosed under New Zealand Privacy Principle 11 which allows disclosure of personal information to uphold the law
Room Condition and Damage or Loss to Clearways
- If any of your booked rooms are left in an unsatisfactory state, charges will apply
- Unsatisfactory state could be excessive mess or odour, excessive unhygienic uncleanliness, causing additional cleaning by staff
- Damage to Clearways property must be reported immediately, we understand accidents can happen
- If there is negligence from the occupant (for example staining and/or damage to beds, furniture, fixtures/fittings) then charges will apply
- Loss or non-return of room card cost is $25 incl. GST
Parking
- No vehicles are to be driven or parked on the grass at Clearways site
- Plenty of parking with extra/overflow parking available adjacent main carpark (follow the signs at entry to site)
- Parking is at the vehicle owners’ risk; Clearways NZ Ltd does not accept any liability for vehicles parked on the property
What to Bring
- All toiletries (we do supply toilet paper!) Handsoap for studio rooms
- Hair Dryer, Washing Powder
- Water bottle, Tea, Coffee, Milk
- The site water is perfectly safe to drink, and all testing results are on the wall outside the office
What does Clearways Supply
- Full Alsco linen on your bed with 1 or 2 duvets – bed made – 2 Towels, Handtowel and Bathmat
- Toilet Paper – plenty of additional rolls available
- Rubbish Bags
- Gas Bottles for our BBQs
- Kitchens: Washing up liquid + dish brushes, rubbish bins and spare bags, cloths, tea towels, floor mop/bucket/cleaner
- Laundries with Washers + Driers
Can Clearways help me (or to be able tell my group) what to expect/bring etc.
- Sure, direct them to the “Guest Info” link on our website. It is imperative that all guests read the information, or the group leader will need to ensure they know the expectations (no parking on grass, not leaving room card costs etc)
What time can we arrive and depart
- We can work with you regarding this
- We know groups are often constrained by their event timings, usually, it is 2pm arrival and 10am depart
- Clearways can sometimes accommodate a midday check in and 1pm depart
- However, please let us know prior to arrival your expected depart/arrive times
What if we have issues on site
- Come and see us at the office or any staff wearing pink! Especially if you notice a hazard
- The group lead will be given a site information sheet in their room, and instructions to gain access to the building master card (for lockouts!)
- The Clearways 24/7 contact details are throughout Clearways, call 027 213 5118 for emergency issues (not room lock out)
